This policy explains how billing, trials, cancellations, and refunds work for your Hubabble subscription: the plan you pay Hubabble to run your coaching practice software. It is referenced by the Hubabble Terms of Service and from the Hubabble pricing page, and it forms part of your agreement with us.
This page is about the money you pay Hubabble. It is not about the money your clients pay you.
The one distinction that matters here
There are two completely separate money flows in Hubabble, and this policy only governs the first one.
- You pay Hubabble for your subscription (your plan: monthly or annual). This policy governs that.
- Your clients pay you for coaching, through Hubabble's payments tools. This policy does not govern that. Refunds, cancellations, and chargebacks between you and your client are set by your own coaching agreement with that client, by your published cancellation and refund terms, and by applicable law. Hubabble does not decide whether your client gets their money back from you. Hubabble does not take a percentage of the money you collect from your own clients; our platform fee on your client payments is currently 0%. If that ever changes, we will tell you in advance and the change will not apply to amounts you have already collected. (Standard payment-processing fees from our payments partner still apply, and a separate Background Tasks and Account verification setup is required before you can accept client payments.)

Who we are
This policy is published by Hubabble, LLC, a member-managed multi-member limited liability company organized under Oregon law.

How billing works
Plans. Hubabble is sold as a subscription. You choose a plan and a billing cycle (monthly or annual) at checkout. The plan and price you select are shown to you before you confirm.
Who processes the payment. Your subscription payment is handled by our payments partner. We never see or store your full card number. (We never surface our payments partner's internal terminology to you; in our system it shows up as "Payments setup," "Account verification," and "Background tasks.")
When you are charged. Monthly plans bill every month on your renewal date. Annual plans bill once per year on your renewal date. If you change plans mid-cycle, the change and any proration are shown to you before you confirm.
Automatic renewal. Your subscription renews automatically at the end of each billing cycle, at the then-current price for your plan, until you cancel. To meet automatic-renewal laws (for example California's Automatic Renewal Law and similar state rules), we commit to the following, regardless of the Oregon forum choice:
- Clear and conspicuous disclosure plus your affirmative consent at checkout. Before you are charged, we show you, clearly and conspicuously, that your plan auto-renews, how often it renews, the renewal price, and how to cancel. You actively agree to the auto-renewing subscription at checkout. We do not bury these terms or pre-check the box for you.
- A pre-renewal reminder for annual plans. Because an annual renewal is a large, infrequent charge, we send you a reminder about 30 days before your annual plan renews, so the renewal is never a surprise. We will also tell you clearly before anything changes if your price would change at renewal.
- Cancellation at least as easy as signing up. You can cancel through the same kind of path you used to subscribe (see "How to cancel" below). If a one-click in-app cancel is not yet available to you, we provide an honest, prompt email-to-cancel path at privacy@hubabble.com in the interim, and we act on it without putting obstacles in your way.
Taxes. Prices are shown exclusive of any applicable taxes. Where we are required to collect tax (such as US sales tax, or VAT or GST), it is added at checkout and shown to you before you confirm.
Failed payments. If a renewal payment fails, we will try to collect it again over the following days and let you know. We do not treat a failed payment as a cancellation; we will ask you to update your payment method so your practice keeps running.
Free trials
Some ways of joining Hubabble include a free trial. During a trial you get access to the product without paying, so you can set up your practice before you decide.
- Open-market signups: a 14-day free trial.
- Coaches who join through a partner certification program: a 90-day (three-month) free trial.
How trials work:
- No surprise charges. If your trial ends with no payment method on file, we do not silently charge you. Your account moves to a clear "choose a plan to go live" state, and we tell you before anything changes.
- If you do add a payment method and your trial converts to a paid plan, your first paid cycle begins when the trial ends, and the cancellation and refund rules below apply from that point.
- A trial is not a refund. A trial is free, so there is nothing to refund for the trial period itself.
Beta founding coaches (grandfathered price)
A small number of founding coaches joined Hubabble during our beta on a special founding price.
- What is protected: the price of your founding plan. As long as your subscription stays continuously active, you keep your founding monthly price even after public pricing goes up.
- What "for life" means: it means for as long as you stay continuously subscribed. If you cancel, the founding price ends, and rejoining later means joining at then-current public pricing.
- Features: founding coaches continue to receive product improvements as the plan grows. Grandfathering protects your price, not a frozen feature set: your founding account runs on the current standard plan's features at your founding price.
How to cancel
You can cancel your Hubabble subscription at any time, and cancelling is at least as easy as signing up was.
What happens when you cancel:
- Your access continues until the end of the period you have already paid for. If you cancel mid-cycle, you keep using Hubabble through the end of that paid month or year. We do not cut you off the moment you cancel.
- Your subscription does not renew again. At the end of the current period, billing stops and your plan ends.
- Your data after cancellation. After your subscription ends, your account moves to a limited, read-only state for a wind-down period so you can retrieve what you need. After that, we delete or anonymize your data as described in the Privacy Policy and the DPA, subject to the append-only records noted below. Refunds
No refunds for partial periods
We keep refunds simple, and the generous free trial is what makes that fair: you get 14 or 90 days to decide before you pay anything.
- We do not provide refunds or credits for partial billing periods. When you cancel, you keep access through the end of the period you have already paid for, and we do not refund the unused part of a monthly or annual term.
- We do not pro-rate. Cancelling early in a paid month or year does not generate a partial refund.
- Annual plans. If you cancel an annual plan partway through the year, you keep access for the remainder of that paid year, and the amount already paid is not refunded.
- Why it works this way. A free trial lets you decide before you pay, and you can cancel any time to stop the next renewal. This keeps billing simple and predictable.
Other terms
- Discretionary credits and refunds. Even where this policy says a payment is non-refundable, we may, at our discretion, issue an account credit or a refund as a goodwill gesture (for example after a significant service problem on our side). Doing so once does not waive this policy or create an obligation to do it again. Our default goodwill remedy is an account credit; a cash refund is reserved for genuine fault on our side.
- Legal rights. Nothing in this policy limits any non-waivable refund or cancellation right you have under applicable law (for example mandatory consumer-protection or distance-selling rights in your jurisdiction). Where the law gives you a stronger right than this policy, the law wins.
- Chargebacks. If you dispute a Hubabble charge with your bank or card issuer instead of contacting us first, we ask that you reach out to us at privacy@hubabble.com first so we can sort it out directly. Opening a chargeback without contacting us may lead us to suspend your subscription while the dispute is investigated.
A note on your data when billing ends
We want to be clear about what happens to your data after you leave.
- Records that must survive. Some records are kept on an append-only basis for legal, security, and accounting reasons, and they survive even after you leave, with personal references anonymized where we can. These include our security and activity audit trail, our financial ledger, records that you accepted our legal terms, and signed agreements. We cannot simply delete these, and we will explain that honestly rather than promise a clean wipe we cannot deliver.
- Exercising export and deletion. To export or delete your data, contact privacy@hubabble.com and we will action your request within the timeframe the law requires. Documents you stamp with a "delete after" date are removed automatically by a nightly job.
Changes to this policy
We may update this policy as Hubabble grows. If we make a material change to how billing, trials, cancellation, or refunds work, we will let you know in a reasonable way before it takes effect, and we will update the version and effective date at the top of this page. Changes do not apply retroactively to a charge that has already been made.
